We get your event organisation started with a kick-off meeting involving all stakeholders. This is where we gain a deep understanding of your event, your organisation, what your specific needs are and what you want to achieve. We outline everything that ties into the project, assigning roles and deadlines. We set up an event plan that everyone can refer to.
Once we understand your needs, we inject our expertise to shape the final agenda. This is the blueprint from which we will work. We liaise with all external stakeholders to make sure that the event programme – and everything included – goes forward without any delays.
Throughout the entire event cycle, we will ensure that all tasks are being taken care of.
We handle all aspects of participant management, from sending out invitations to tracking RSVPs and managing special requests. We also coordinate with event speakers to confirm their availability and session details, ensuring a seamless integration into the event schedule. Our team ensures that every potential attendee is engaged and informed, optimizing attendance and participation.
In addition to our bi-monthly meetings, you will receive a weekly email update, progress report, and proposed outcomes for the week ahead. The email will contain a link to the latest version of the detailed event-to do list where you can see exactly where we are in the process. You’ll also receive links to your delegate lists as soon as they’re available.
Final arrangements are made as the event approaches. We set up the venue or studio, prepare all materials needed for the event day, and send out detailed event information to all attendees and speakers. A comprehensive event day checklist is completed to ensure smooth execution.
On the day of the event, we distribute the last pieces of information to attendees and speakers to ensure everyone is well-prepared.Our team is on-site to manage all operations. Our team oversees all operations, managing the flow of the event to ensure it runs smoothly and all elements align with the planned agenda. We coordinate with subcontractors and staff, and handle any issues that arise. Our proactive approach ensures that the event runs smoothly and that every attendee’s experience is exceptional.
After the event, we express our gratitude to all participants through thank-you emails and distribute recordings and other post-event materials
After the event we will meet (in person or virtually) and do a thorough event evaluation to measure to what extent we met the objectives, what went well but also any challenges that were encountered throughout the process.
